Viewing dropbox folder file submissions
The Dropbox Folders page provides a summary of the Total Files, Unread Files, Flagged Files, and Due Date for each dropbox folder. Click on a folder to navigate to its Folder Submissions page to view submitted files.
You can also access users' folder submission history from the Evaluate Submission page if they have submitted at least one file to the folder. A submission history enables you to quickly view a list of all files a student has submitted including:
- deleted files
- re-submitted files
- every submission's date and time
- an indication that the student has read the comments and feedback for a submission
- comments left by the student
View files using the Folder Submissions page

Do one of the following:
- On the Dropbox Folders page, click on the folder you want to view submissions for.
- On a folder's Edit Folder page, click Folder Submissions from the context menu beside the page heading.
- Use the Users tab or Submissions tab to view and search submissions by user or file name. Searching by User enables you to search by first name, last name, submissions, and feedback. Searching by Submissions enables you to search by file name, score, submission date, read status, and flag status.
- Enter criteria in the Search For field to narrow the list of submissions in your search.
View folder submission history
- On the Folder Submissions page, click the Evaluate link beside the name of the user you want to view a history of.
- On the Evaluate Submission page, click Folder Submission History.
- You can select a different folder from the Folder drop-down list if a user submitted files to other dropbox folders within the course.
Accessing the Evaluate Submission page
On the Folder Submissions page, click the Evaluate link beside the name of the user you want to leave feedback for.
Leaving feedback and grading dropbox submissions
The Evaluate Submission page enables you to evaluate and leave feedback for user submissions, but you can also download submissions from the Folder Submissions page to work on files offline.
The Evaluate Submission page contains two main sections: the Submissions List panel and the Evaluation panel. From the Submissions List panel you can download submissions to work with offline or view them inline with the document viewer. The Submissions List panel also displays a user's or a group's file submissions. Use the Evaluation panel to grade and provide comments.
The following file formats are compatible with Dropbox's document viewer:
- MS Word (DOC, DOCX)
- MS PowerPoint (PPT, PPTX, PPS)
- Adobe Acrobat (PDF, PDFS)
- Web (HTM, HTML)
- Plain text (TXT)
- Images (BMP, GIF, JPG, JPEG, PNG)
If you grade directly on the Evaluate Submission page, you can choose to publish feedback immediately or save your feedback as a draft and release it at a later time. This enables you to revise and review evaluations, and publish your feedback to multiple users at the same time. You also have the option to retract published feedback if you want to provide an update to past evaluations but only want students to access your most recent feedback. You can also annotate users' web and plain text file submissions with the HTML Editor and attach those annotations as part of feedback.
If you use rubrics to assess Dropbox submissions, you can append the overall rubric feedback to the submission Feedback field. If the rubric uses points, you can also scale and transfer the overall rubric score to the submission Score field. Both of these fields transfer to Grades if the dropbox folder is associated with a grade item.
View a file submission in the document viewer
In the submission list on the Evaluate Submission page, click View Document from a file submission's context menu.
Evaluating and grading submissions
Transfer feedback from an associated rubric
You can assess a user submission with a rubric associated with the dropbox folder. For each associated rubric, you can grade a user based on set criteria, and you can also provide additional feedback in the HTML Editor.
- Click on the associated rubric in the Evaluation panel.
- In the rubric, click on a criterion's Edit feedback icon and enter feedback in the text field. Click Save.

Select Transfer rubric feedback to general feedback for the assignment.
Note If you transfer rubric feedback to general feedback, it will appear beneath your manually entered feedback. You can edit transferred rubric feedback in the general feedback HTML Editor, but the rubric will not reflect changes you save here.

Click Save & Record to push your rubric assessment score and feedback into the submission's overall score and feedback area. Otherwise, click Save if you want to keep the rubric score separate from the overall score and prevent the transfer of rubric feedback into general feedback.
Note You can attach multiple rubrics to a dropbox folder, but you can only push one rubric's assessment score to the submission's overall score.
Evaluate a dropbox submission

If you created a grade item for the dropbox folder, enter a value in the Score field.
Note Information about grade items tied to the dropbox folder appears beside the score value.
- Provide comments and suggestions in the Feedback field.
- You can Add a File, Record Audio or Video as feedback. Feedback given as an annotated file also appears in your list of added files.

Click Save Draft to save feedback and continue grading submissions. Click Publish to release your feedback to user.
Notes
- As you grade each submission, you can click Next Student until you reach the final submission where you can click Finish to return to the Folder Submissions page.
- If you want to publish feedback simultaneously for multiple users, you can bulk publish from the folder's Folder Submissions page.
Provide feedback as an annotated file
You can add annotations directly from the Evaluate Submission page. Your feedback will include the annotated file as an attachment.
- In the submission list on the Evaluate Submission page, click on the student's submitted file.
- At the top of the submitted file viewer, there is an annotations toolbar that will allow highlighting, comments with markers and/or attached notes, typed text, and shapes.
- Once you have completed the annotations and saved a draft or published the evaluation, the annotated file will be saved for the student to review.
Evaluating non-submissions and external submissions
You can evaluate students from Dropbox even if no submissions were made to a dropbox folder. This enables instructors to assign comments and grades to students with no submissions. Also, this enables instructors to evaluate submissions that occur outside of Cobra Learning while keeping track of evaluations within dropbox folders.
Evaluate a non-submission or external submission
- On the Dropbox Folders page, click on the folder you want to view submissions for.
- On the Folder Submissions page, there are several filters you can use to search for users with no submissions. You can select Users without submissions from the Submissions drop-down list to filter your search for empty submissions. Or, you can select Show everyone from the Submissions drop-down list to filter your search for submissions and empty submissions.
- Click the Search icon.

Click the Evaluate link beside the name of the user you want to evaluate.
Note Click the Publish link if you are reevaluating a students submission.
- You can evaluate the user through any associated rubrics, or if you created a grade item for the dropbox folder, enter a value in the Score field.
- Provide comments and suggestions in the Feedback field.
- You can Add a File or Record Audio as feedback. Feedback given as an annotated file also appears in your list of added files.

Click Save Draft to save feedback and continue grading submissions. Click Publish to release your feedback to user.
Notes

Bulk publishing dropbox feedback evaluations

In the Users tab on the Folder Submissions page, select the check box beside the users you want to send feedback to.
Note If you select users who already received published feedback, bulk publishing will update their feedback to the latest feedback.

Click Publish Feedback.
Note You cannot revert bulk publishing, but you can retract feedback for users individually on the Evaluate Submission page.
Downloading dropbox folder submission files
If you need to access submission files offline instead of viewing them directly from Dropbox's document viewer, you can download submissions to your computer. You can also leave feedback in downloaded submission files, and upload the files back to the dropbox folder in the form of attachments (files are attached to each user's submission evaluation).
Download submission files

On the Folder Submissions page, do one of the following:
- In the Users tab, select the check box beside each user or group with dropbox files you want to download.
- In the Files tab, select the check box beside each file you want to download.
- Click Download.
- Click on the newly created zip folder.

Use your browser’s "Save" dialog to save the files to your computer.
Notes
- Dropbox renames each downloaded submission file to include a unique user ID, the user's name, or the group's name along with the submitting user's name, and the submission date and time.
- Dropbox marks downloaded submission files with a Read icon.
- Extract the files from the saved zip folder.

You can open an extracted file to view the submission.
Important If you want to leave feedback directly in a downloaded submission and attach it to a user's dropbox submission evaluation, do not rename the file name when you save your changes. This ensures easier upload and distribution back to students.
Uploading and attaching feedback from downloaded submission files
If you download user submissions and leave feedback within the files, you can upload them back to the appropriate dropbox folder so they appear as attachments to each user's submission evaluation. To ensure successful feedback upload and distribution back to students, do not rename the downloaded files' names after you enter feedback and save changes.
Upload feedback files

Do one of the following:
- On the Dropbox Folders page, click on the folder you want to view submissions for.
- On a folder's Edit Folder page, click Folder Submissions from the context menu beside the page heading.
- Click Upload Feedback Files.

You can drag and drop multiple files from your computer or you can click Upload to select them.
Note If you are uploading a compressed zip file that contains dropbox folder submissions you previously downloaded to add feedback, your compressed zip file structure must be identical to the bulk submission download, and file names should remain unchanged. This ensures the automatic distribution process runs smoothly.
- By default, the system overwrites duplicate upload files. Clear the Overwrite duplicate files check box if you want to keep duplicates.
- Click Upload.
- Feedback files that do not automatically distribute display in the Distribute Feedback dialog. Select a file, then click on the student you want to send the feedback to.
Retracting published feedback
If you want to remove published feedback, go to the user's submission on the Evaluate Submission page and click Retract in the Evaluation panel.
Emailing users from a dropbox folder
Email users from a dropbox folder
- On the Dropbox Folders page, click on the folder that contains users you want to email.
- On the Folder Submissions page, select the check box beside each user or group you want to email and click Email.
- Enter your message in the Compose New Message pop-up.
- Click Send.
Email users who have not submitted to a dropbox folder
- On the Dropbox Folders page, click on the folder that contains users who have no submissions.
- On the Folder Submissions page, click Email Users Without Submissions or click Email Groups Without Submissions.
- Enter your message in the Compose New Message pop-up. The email addresses of the selected users populate automatically in the To field of the message.
- Click Send.
Note If any member of a group submits work to a group dropbox folder, no one in that group receives an email when Email Groups Without Submissions is selected.
Marking dropbox folder submissions as read or unread
On the Folder Submissions page, select the check box beside the files you want to mark as read or unread, and click Mark as Read or Mark as Unread.
Note When you open or download a file, the Dropbox tool marks it as "Read".
Flagging dropbox folder submissions
On the Folder Submissions page, click the Flagged or Not Flagged icon beside an item's name.
Note You can use the Flag Status of the search tool to sort flagged submissions.
Using Turnitin
Turnitin enables you to monitor dropbox submissions and identify potential cases of plagiarism by automatically comparing submissions to an online database of original content. You can then view Originality Reports which highlight key areas, show a breakdown of matching sources, and provide direct links to the matching content.
You can also take advantage of the integrated GradeMark which enables you to add comments, inline text, and highlight sections in file submissions, directly from the Dropbox tool.
Creating a dropbox folder that uses Turnitin
If Turnitin is activated for your org unit, you will see a Turnitin link on the Evaluation and Feedback section of a new dropbox setup.
Important Once a dropbox folder is created with Turnitin enabled, assignments are created in Turnitin. If you disable Turnitin, the assignment in Turnitin continues to exist unless you go to Turnitin to delete it, or you delete the assignment after its availability dates have passed.
Enable Turnitin
- While creating or editing a dropbox folder, click the Turnitin link from the Evaluation and Feedback section.
- Check the Enable GradeMark for the folder box, which should then automatically check the enable Originality Check as well.
- Select More Options to set up advanced features and/or click Save and Close.
Other advanced features
Other features of Turnitin include: control end user visibility, set the Originality Reports frequency, select which sources to check the submission against, and decide whether the current submission you are running the report against is added to the file index for new submissions to be checked against.
Allow submitters to see similarity scores
- Click Allow learners to see Turnitin similarity scores in their dropbox folder
- Click Save.
Change the frequency of your Originality Reports

Choose one of the following options:
- Automatic originality checking on all submissions
- Identify individual submissions for originality checking
- Click Save.
Select which sources to check a submission against
- Click More Options in Turnitin to open the advanced options area.

Choose any combination of the following options:
- Student paper repository
- Current and archived web site content
- Periodicals, journals, and publications
- Click Submit.
Allow submissions to be added to the index (used in future searches)
- Click More Options in Turnitin to open the advanced options area.
- Select Standard paper repository or do not store submitted papers from the context menu.
- Click Submit.
Manually submitting files for originality checking
If your dropbox folder has Identify individual submissions for originality checking enabled, you will need to manually submit file submissions for originality checking. This is useful if you don’t want to check every file submission for plagiarism, but still want the ability to do so on a case-by-case basis.
Manually submit files for originality checking
- Ensure that Identify individual submissions for originality checking is enabled in the properties tab on the New/Edit Dropbox page.
- On the Folder Submissions page, click the Submit file to Turnitin icon. A message displays indicating the file has been submitted for review.
Viewing Originality Reports
View Originality Reports from the Folder Submissions page. When a report is available, the status changes from In-Progress to a percentage rating, which indicates the level of matching content.
A lower percentage rating indicates that the content is likely original and has not been copied; a higher percentage rating indicates the content is likely not original and has been copied from another source.
The percentage ranges are associated with colors:
- Blue >= 0 and < 20%
- Green >= 20 and < 40%
- Yellow >= 40 and < 60%
- Orange >= 60 and < 80%
- Red >= 80 and <= 100%
View an Originality Report for a submission
Click the colored section beside the percentage rating to view the associated Originality Report.
The Originality Report is comprised of two panes. The right pane lists all of the matching sources, including the percentage of text that matches and a link to the online content. The left pane displays the submission text using colored highlights to draw attention to the matching content.
