Admissions: Instructor-Initiated Withdrawal Process
Starting in Fall 2021, we will now be using Self Service to enter student grades and withdraw students instead of Webadvisor.
Instructor-Initiated Withdrawal Process for Lack of Attendance
Attendance reporting is a regulatory requirement for students receiving any sort of federal benefit to attend school. This will allow the college to ensure proper reporting to the Department of Education.
- Students Who Have Never Attended (Census Date Reporting)
- Students Who Have Stopped Attending PRIOR to Mid-term (Mid-term Withdrawals)
- Students Who Stopped Attending AFTER Mid-term (Final Grade Reporting)
- Finding Last Date of Attendance in Cobra
In Self Service, when entering grades, report withdrawal in accordance with one of the following scenarios:
NEVER ATTENDED (CENSUS DATE REPORTING):
- Navigate to Grading > Midterm tab. Select "W" from the dropdown list of the student who is to be withdrawn.
- If the student has never attended, check the “Never Attended” box.
- Click the Midterm Grading Complete button.
STOPPED ATTENDING PRIOR TO MID-TERM (MID-TERM WITHDRAWALS):
- Navigate to Grading > Midterm tab. Select "W" from the dropdown list of the student who is to be withdrawn.
- If student has ceased attending, enter their “last date of attendance.” (See section below for online course attendance).
- Click the Midterm Grading Complete button.
STOPPED ATTENDING AFTER MID-TERM (FINAL GRADE REPORTING):
- Navigate to the Grading > Final Grade tab. Enter a grade of "F" from the dropdown of the student who has stopped attending.
- If student ceased attending after the mid-term grade was reported, enter their “last date of attendance.” (See section below for online course attendance). NOTE: this is an UNEARNED "F" and requires a last date of attendance.
- Finish posting the remaining final grades for your students.
- Click Post Grades.
Locating “Last Date of Attendance” in Cobra Learning
When you submit a grade of W for a student or a final grade of F for ceasing to attend, you must also submit their last date of attendance (i.e. the last day that they were "active" in the course). To locate the last date of activity for a student, please do the following:
In your Cobra course,
- Click on Classlist in the navigation bar.
- Click on drop down menu next to the student's name, and select View Progress.
NOTE: this information is NOT available after a student has been removed from the classlist. You need to document their last date of activity PRIOR to removing them from the Cobra classlist.
- From the user progress page, you can select Content to view what modules and topics from the table of contents that they have accessed and when they accessed them (You may need to click on the topics/modules link to expand into the module for individual topic access dates). You may also view their activity in discussions, dropboxes, and quizzes by viewing those progress reports as well. Find the last date that they were active in the course and enter that date in Webadvisor as the "Last Date of Attendance."
