Self Service Time Approval for Supervisors and Proxies (Bi-Weekly Payroll)
This article covers how to view and approve time sheets submitted by employees.
You will get one email for each week that your employee submits for approval. See email example below.
Log in to Self Service: https://selfserv.parkland.edu/
Click on your name if you are approving time as the supervisor. If you are approving on someone’s behalf, please select the employee you are the proxy for and then click Continue. The directions to approve will be the same for supervisors and proxies.
Select Employee.
Select Time Approval.
Next, you will need to select the bi-weekly pay period in which you are approving time for.
The supervisor can apply filters such as Submitted, Not Complete, Approved, etc. Then select Apply Filters after you have made your selection.
The supervisor will need to select the employee they are approving time for, either by clicking the arrow or selecting the employee’s name.
The supervisor will then see the pay period that they need to approve time for. The supervisor will need to choose View to see the employee’s In and Out times for the week.
If an employee is working in two different positions, the supervisor will see both positions listed in the Pay Period week. The supervisor will only be able to approve the position for which they are listed as the supervisor or the proxy for.
Please make sure your employee is entering their In and Out times daily. Remember when employees are scheduled to work 7.5 continuous hours or more, they must take a 30-minute, unpaid meal break. The 30-minute, unpaid meal break must be taken no later than 5 hours after beginning work.
If an employee does not work, please make sure the field is left blank for the corresponding date.
If the time is correct and ready to be approved, select the Approve button.
You must approve each week that your employees work. Please click on the arrow button to move to the next week. If the time is correct and ready to be approved, select the Approve button.
After you approve your employee’s time card for each week, the employee will receive an email letting them know their time has been approved. The employee will receive two emails if you are approving both weeks within the pay period. When you click the Approve option, this becomes your electronic signature acknowledging your employee’s submitted time is accurate and ready for pay.
It is you and your employee’s responsibility to ensure time entry is reported accurately according to the law and that the time sheet is signed and approved by the due date established by the Payroll Office.
Note: Manual checks will not be issued for late time sheets.
If the time is incorrect and needs to be rejected back to the employee for corrections, please click on the Other Actions drop-down menu and select Reject.
When you choose Reject, you will need to type in a reason for the rejection in the space provided and then click Reject. Please be sure your reason gives your employees the information they need to correct their time. See the example below.
The employee will receive an email letting them know that their time card has been rejected.
Repeat any of the above steps to ensure that your employee’s time is correct and submitted before the Payroll deadline.
Please do not use the Unapprove option that is in the Other Actions drop-down list. Please always use Reject if you need to correct any time sheet errors.
