GroupWise Client (Windows) - Mailbox Clean Up Utility

This article explains how to access and use the built-in tool within the GroupWise client to clean up your email account. Please note that if you are cleaning up your email from the web-based GroupWise application (not the preferred method as there is no mailbox clean-up utility), you will instead want to click on the "See Also" link at the bottom of this page.

To access the tool from the GroupWise client, there are two options.  The first is to click the Mailbox Size % along the bottom bar of the main GroupWise window.  The other is to click the Tools menu and select Check Mailbox Size... option from the drop down menu.  Both areas have been highlighted in yellow to show where the options are located.

Once you have clicked to open the tool, you should see the following window appear.

From here you can see the percentage of your mailbox in use indicated by the graph, and four view choices.  The choices will filter what items you see based on their type. Those choices are Trash, Sent Items, Received Items, and Posted/Draft Items.  

The first thing you should do is right click on the column header named From and choose folder.  This will add a column to show the folder where the email is stored, this is VERY IMPORTANT.  Each view will show EVERY message of that type, no matter what folder the message exists in from your mailbox.  From each view you can double click on the individual message to open them, in case there is a question of what is inside.

The first three areas are likely the only ones you will need to address.  Let's take a closer look into each view.

Trash - When you click on the check box next to Trash, it will show you all items in your trash, sorted from largest to smallest.

Sent Items - When you click on the check box next to Sent Items, it will show you all items in your mailbox that you have sent, sorted from largest to smallest.

Received Items - When you click on the check box next to Received Items, it will show you all items in your mailbox that you have received, sorted from largest to smallest.

Posted/Draft Items - When you click on the check box next to Posted/Draft Items, it will show you all items in your mailbox that you have as a work in progress and some appointments from largest to smallest.

Now that you have found some messages that you would like to delete, click the delete button on the screen or your keyboard.  You will be prompted with YES & NO buttons to confirm your selection, with the reminder in the pop-up window that "items deleted will not be recoverable".  


To select multiple messages, hold down the left CTRL key and click on the messages you want to select.

When you are finished, click the Close button in the upper right hand corner of the tool window.
